Position Summary The Admin Assistant supports the Tax and Audit teams with document management, client communications, project setup, and day-to-day administrative tasks. This entry-level role is well suited for someone who is highly organized, detail-oriented, tech savvy, and comfortable managing multiple priorities and deadlines.

Key Responsibilities

  • Scan, label, index, upload, bookmark, and organize client documents, electronic workpapers, and records.
  • Set up new clients and projects in tax, audit, and workflow systems and maintain accurate client information.
  • Prepare and maintain engagement letters, tax organizers, e-file authorizations, and other standard forms and correspondence.
  • Request and follow up on missing client documents and coordinate signatures and secure document delivery.
  • Assist with tax return and extension processing, electronic filing, payment processing, and saving filing authorizations.
  • Help clients access secure delivery systems and send documents to clients or authorized third parties.
  • Pull bank statements and retrieve documents from client or investor portals as requested.
  • Assemble, proofread, bind, archive, and deliver tax and audit documents and reports.
  • Provide general administrative support, serve as backup to reception, and assist with special projects as needed.
Qualifications
  • High school diploma required.
  • Prior administrative, office, or customer service experience preferred.
  • Must be tech savvy and comfortable learning new software, portals, and electronic workflow systems.
  • Proficiency with Microsoft Office.
  • Excellent organizational, time-management, written, and verbal communication skills.
  • Strong attention to detail and ability to manage multiple priorities and meet deadlines.
  • Ability to handle confidential client information with professionalism and discretion.
  • Flexibility to work overtime or weekends during peak periods, as needed.
