We are looking for a Personal Injury Case Manager who understands that managing a case is about much more than checking boxes and requesting records.

It's about knowing the story behind the case, understanding what is happening with the client, identifying what is missing, anticipating what comes next, and making sure nothing or no one falls through the cracks.

THE ROLE

As a Case Manager, you will take ownership of a personal injury caseload from intake through the demand phase, working closely with attorneys, clients, medical providers, insurance carriers, and the rest of our team.

You will be responsible for keeping cases moving, maintaining accurate and complete files, identifying potential issues early, and ensuring our attorneys have the information they need to evaluate and resolve each case effectively.

This is a high accountability, highly organized remote position for someone who can work independently while remaining deeply connected to the team.

You will be expected to manage the details without losing sight of the person behind the file.

THE OWNERSHIP

Client Experience &
  • Communication
Serve as a consistent point of contact for clients throughout the pre-litigation process.

Build trusting relationships with clients through proactive, compassionate, and professional communication.

Conduct client interviews and obtain the information necessary to understand the full scope of the client's injuries, treatment, losses, and circumstances.

Keep clients informed about case progress, anticipated next steps, and outstanding items.

Identify new or ongoing issues, changes in treatment, additional damages, or concerns that may affect the case.

Communicate with clients by telephone, email, and other approved firm communication platforms.

Case Management &

  • Case Development
Manage personal injury cases from intake through the demand phase.

Monitor each case for progress, deadlines, milestones, and outstanding tasks.

Review cases regularly to determine what needs to happen next and ensure those items are assigned and completed.

Gather, organize, and analyze medical records, bills, police reports, insurance information, and other evidence necessary to develop the case.

Follow up consistently with medical providers, insurance carriers, clients, and other third parties.

Monitor medical treatment and identify gaps, delays, or issues requiring attention.

Research and investigate information relevant to liability, injuries, treatment, damages, and potential case value.

Identify missing information and proactively pursue it rather than waiting for someone else to discover the gap.

Prepare comprehensive demand packages and supporting documentation under attorney direction.

Assist attorneys in preparing matters for settlement negotiations.

Maintain accurate, organized, and current case files and documentation within the firm's case management system.

Case Flow Ownership &

  • Accountability
Participate in weekly case review meetings with the team.

Identify cases that are stalled, approaching deadlines, missing documentation, or requiring escalation.

Ensure tasks have clear ownership and due dates and follow through until completion.

Review case management activity for quality, timeliness, and completeness.

Audit files to ensure compliance with firm standards and established workflows.

Communicate patterns, exceptions, quality concerns, and training needs to the Pre-Litigation Supervisor.

Analyze case progress, turnaround times, client responsiveness, and other relevant case-management metrics.

Participate in monthly case reviews and help identify opportunities to improve workflows and procedures.

Support the development and refinement of Standard Operating Procedures as the firm continues to grow.

WHAT WE'RE LOOKING FOR

Required

Experience managing personal injury cases in a plaintiff-side law firm environment.

Strong understanding of pre-litigation personal injury case management.

Excellent written and verbal communication skills.

Strong organizational and time-management skills.

Ability to manage multiple cases, deadlines, priorities, and competing demands.

Ability to work independently and maintain productivity in a remote environment.

Strong attention to detail and commitment to accuracy.

Ability to exercise sound judgment and identify when an issue requires escalation.

Proficiency with Microsoft Office and case management technology.

Ability to learn and follow established systems, procedures, and workflows.

Preferred

2+ years of personal injury case management or related plaintiff-side legal experience.

Prior paralegal or legal assistant experience.

Experience with automobile insurance claims and PIP.

Experience preparing personal injury demand packages.

Experience communicating with insurance carriers, medical providers, lienholders, and clients.

Familiarity with case management systems such as Smokeball, Clio, or similar platforms.

Bachelor's degree or equivalent relevant experience.

Bilingual in Spanish or Haitian Creole.
