This is a great opportunity for someone with construction administration experience who enjoys working in a fast-paced environment, managing multiple tasks, and ensuring projects run smoothly.<br> </div> <div> You'll play an important role in supporting project delivery, maintaining accurate records, coordinating documentation, and assisting with day-to-day administrative and operational tasks.<br> </div> <div> <br> </div> <div> <b>Key Responsibilities</b><br> </div> <ul> <li><span>Maintain accurate project records and perform data entry<br></span></li> <li><span>Set up and manage jobs within internal systems<br></span></li> <li><span>Process invoices, purchase orders, supplier documents, and project costs<br></span></li> <li><span>Prepare proposals, work orders, variations, and project documentation<br></span></li> <li><span>Manage warranties, permits, compliance documents, and site paperwork<br></span></li> <li><span>Coordinate calendars, meetings, emails, and project schedules<br></span></li> <li><span>Liaise with suppliers, contractors, clients, and internal teams<br></span></li> <li><span>Monitor project timelines and follow up on outstanding tasks<br></span></li> <li><span>Prepare reports, spreadsheets, and project updates<br></span></li> <li><span>Assist with document control, filing, and maintaining standard operating procedures (SOPs)<br></span></li> <li><span>Draft professional emails, letters, and other business documents<br></span></li> <li><span>Create social media content and assist with AI workflow development<br></span></li> <li><span>Provide general administrative support to the construction and operations teams<br></span></li> </ul> <div> <br> </div><br><h3>Requirements</h3> <div> <br> </div> <ul> <li><span><b>Minimum of 3 years of experience in Administration or Construction Administration</b><br></span></li> <li><span><b>Experience working with Australian or New Zealand clients in the construction industry (preferred)</b></span><br></li> <li><span><b><span><b>Experience using construction management platforms such as SimPRO, Procore, Buildertrend, Aconex, Monday.com, or similar (preferred)</b></span></b><br></span></li> <li><span><span>A degree qualification (preferred)</span></span><br></li> <li><span><span><span>Experience using CRM and construction management software</span></span></span><br></li> <li><span><span><span><span>Familiarity with AI tools and workflow automation (preferred)</span></span></span></span><br></li> <li><span><span><span><span><span>Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)</span></span></span></span><br></span></li> <li><span>Excellent written and verbal communication skills<br></span></li> <li><span>Strong organisational, time management, and multitasking abilities<br></span></li> <li><span>High attention to detail and accuracy<br></span></li> <li><span>A proactive attitude with the ability to work independently<br></span></li> <li><span>Strong customer service and stakeholder management skills</span><br></li> <li><span>A positive attitude and willingness to learn and grow<br></span></li> </ul> <div> <i>Work Environment & Expectations</i> <br> </div> <div> <br> </div> <div> While this is a work-from-home position, it is important to note that this is a full-time role—not a freelance or flexible-hour arrangement.
