Overview

We are seeking a highly organized, proactive, and mission-driven Executive Operations Manager to serve as the right-hand partner to executive leadership within a growing nonprofit organization focused on affordable housing, community development, and real estate initiatives.

This is more than a traditional Executive Assistant role. The position combines executive support, operations management, project coordination, systems development, stakeholder communication, research, and strategic execution. The ideal candidate is resourceful, detail-oriented, and capable of independently managing multiple priorities while helping leadership stay organized and focused on high-impact work.

The role requires someone who is comfortable managing executive communications, coordinating complex projects, improving operational systems, supporting business development efforts, and interacting professionally with funders, public officials, community partners, and other key stakeholders. Candidates with experience supporting executives, nonprofit organizations, real estate, community development, or mission-driven organizations are highly preferred.

Key Responsibilities

  • Manage executive calendars, scheduling, travel arrangements, meetings, and executive follow-ups
  • Coordinate communications with leadership, partners, funders, public officials, vendors, and community stakeholders
  • Organize and maintain project trackers, operational documentation, dashboards, and digital filing systems
  • Track priorities, deadlines, deliverables, action items, and strategic initiatives to ensure timely execution
  • Support research related to affordable housing, community development, funding opportunities, grants, and policy trends
  • Maintain CRM systems, partnership pipelines, and stakeholder databases
  • Assist with grant writing, proposal preparation, funding applications, and business development activities
  • Prepare executive correspondence, reports, presentations, meeting materials, and briefing documents
  • Support event planning, stakeholder meetings, conferences, and executive convenings
  • Help identify and implement tools, workflows, and operational improvements that increase organizational efficiency
Executive & Administrative Support
  • Manage executive calendars, appointments, travel logistics, and meeting coordination
  • Draft, edit, and manage executive-level emails, presentations, reports, and correspondence
  • Monitor executive inboxes, prioritize communications, and coordinate timely follow-ups
  • Prepare meeting agendas, briefing materials, notes, and action-item summaries
  • Organize documents and maintain filing systems using Microsoft Office, Teams, and shared drives
  • Provide day-to-day executive support while helping reduce leadership's administrative workload
Operations & Project Management Support
  • Coordinate and track multiple strategic projects across departments and external partners
  • Maintain project timelines, dashboards, trackers, and recurring operational workflows
  • Coordinate with internal teams, partners, and stakeholders to keep projects on schedule
  • Support grant management, proposal preparation, and funding-related initiatives
  • Maintain CRM records, partnership pipelines, and business development tracking
  • Assist with research, reporting, and documentation for executive decision-making
  • Identify opportunities to improve workflows, systems, documentation, and operational efficiency
  • Support special projects aligned with organizational growth and strategic priorities
Preferred Skills & Qualifications
  • 3–5+ years of experience supporting executives, founders, or senior leadership
  • Experience in executive assistance, operations coordination, project management, or Chief of Staff support
  • Excellent written and verbal English communication skills
  • Strong executive-level writing and communication abilities
  • Exceptional organizational skills and attention to detail
  • Ability to independently manage multiple priorities and deadlines
  • Strong proficiency with Microsoft Office (Word, Excel, PowerPoint), Microsoft Teams, and Outlook
  • Experience with project management platforms and collaboration tools
  • Experience with CRM systems, pipeline management, or stakeholder databases
  • Comfortable working in fast-paced, mission-driven environments with evolving priorities
Nice-to-Have (Bonus Skills)
  • Experience in nonprofit, affordable housing, community development, or real estate organizations
  • Experience supporting grants, funding applications, or proposal development
  • Familiarity with project management tools such as Asana, Monday.com, ClickUp, Smartsheet, Airtable, or Notion
  • Experience with Squarespace or website content management
  • Familiarity with AI tools, workflow automation, or process optimization
  • Background in communications, research, public policy, or data analysis
  • Experience coordinating conferences, events, or stakeholder engagement initiatives
  • Passion for mission-driven work and community impact
