Provide administrative support such as filing, data entry, and maintaining records using computer systems and spreadsheets.
Monitor and manage Time Attendance Management System (TAMS), including attendance tracking, leave records, and generating reports.
Support HR in handling employee relations matters, including disciplinary issues, documentation, and follow-up actions.
Verify and process employee claims.
Assist in calculation of salesman commission & incentive.
Ensure the office environment is clean, sanitized, safe, and well-maintained at all times.
Plan and arrange office decorations and preparations for festive seasons and company events.
Assist in managing office maintenance and upkeep, including facilities and equipment.
Monitor and maintain office inventory, including restocking and tracking shortages.
Ensure office security and safety by adhering to established procedures, including visitor management and relevant SOPs.
Coordinate business travel and accommodation arrangements for management and employees.
Assist in organizing and coordinating HR-related activities and events.
Monitor and ensure timely renewal and payment of licenses, permits, bills, and other official documents, while maintaining proper documentation.
Ensure all assigned tasks and projects are executed efficiently and within deadlines.
Perform any other duties and responsibilities as assigned by the superior from time to time.
Requirements
Minimum Diploma in Business Administration or related field.
Fresh graduates are encouraged to apply; candidates with at least 1 year of relevant administrative experience, preferably in the manufacturing industry, will have an added advantage.
Proficient in Microsoft Office applications (Outlook, PPT, Word, and Excel).
Good command of Malay & English, both written and spoken, for internal and external communication.
Able to work in a fast-paced environment and handle pressure effectively.
Strong multitasking, organizational, and time management skills with the ability to prioritize tasks.
